Dispatch Issue Tab

Usually, orders get stuck in Dispatch Issues when the courier service rejects generating consignment numbers (CN).

Following are a few main reasons for rejection:

  1. Incorrect City Name: If the city name provided is inaccurate or doesn't match the records, the courier service may reject generating the consignment note.

  2. Incorrect Phone Number Format: Orders may face rejection if the provided phone number doesn't adhere to the required format by courier.

  3. Incorrect Email Address Format: Similar to phone numbers, if the email address provided doesn't follow the expected format or contains errors, the CN generation can be declined by the courier.

  4. Shipping Address Word Limit Exceeded: When the shipping address exceeds the specific word limit, it can result in the rejection of CN generation.

  5. City Not Serviced by Courier: If the courier does not offer its services in the designated city/area, the CN generation gets declined.

To address these issues, the recommended steps are as follows:

  • Review Order Logs: Inspect the order logs to identify the specific reason for the rejection. This will help pinpoint the exact problem area.

  • Edit Customer Details: If incorrect phone numbers, email addresses, or other customer information are the causes of rejection, edit the customer details to ensure accuracy. These changes will also be reflected in shopify.

  • Update City Information: If the city-related issues are responsible for the rejection, update the city information within the order to match the courier service's coverage area.

 

  • Retry: The system will retry to Generate CN against the order, if successful, the order will move to the Approved tab; it will remain there.

  • Cancel:

  1. Pressing this button will result in order cancellation.

  2. Any CN generated will be automatically canceled through the relevant Courier’s Portal.

  3. After clicking the cancel button, a screen appears, providing you with the choice to decide whether to restock the inventory or not.

  • Release: Through this button, you will be able to release the order from the current location and move it to the Awaiting Assigning tab. When the Release button is clicked, it will release the
    holding inventory of that location.

  • Approve without CN: This button will allow you to approve the order in the dispatch
    issue tab without fulfilling it from any courier.

By understanding and fixing these problems, you can keep the order processing running smoothly, and generate the CN successfully to the orders for dispatch.
